Claude Rollout
Commitment: Every employee gets a personal AI assistant.
What
Roll out Claude (with Claude Cowork and connectors) as the personal AI assistant for every non-engineering employee at Kaptio. Engineers already have Cursor — this closes the gap for the rest of the company.
Why
We spent 6 months experimenting with ChatGPT Enterprise, Slack AI, and Notion AI before landing on Claude. The "everyone else" problem — non-engineers without a real AI assistant — is the biggest adoption blocker. Solving it is the prerequisite for everything else in Amplify.
Phases
Evaluate
CompleteTest Claude, ChatGPT, and Gemini for non-engineering use cases. Evaluate connectors, data privacy, cost.
- Trial Claude Pro for 5 power users across consulting, sales, and product
- Test Claude Cowork with Google Drive and Notion connectors
- Compare cost per seat across options
- Evaluate data privacy and compliance requirements
POC — Early Adopters
Active2026-04-01 — 2026-04-30
Give Claude to 10-15 early adopters across 3 departments. Collect weekly feedback. Build a use case library from real work.
- Select early adopters: 5 from consulting, 5 from commercial, 5 from product
- Set up Claude Team workspace with connectors to Google Drive and Notion
- Weekly 15-min feedback sessions for first 4 weeks
- Document top 10 use cases that emerge (SOW drafts, proposals, meeting prep, etc.)
- Measure: time saved per task, quality of output, frequency of use
Pilot — Two Departments
Upcoming2026-05-01 — 2026-05-31
Expand to full Technical Consulting and Commercial teams. Run onboarding sessions. Measure adoption weekly.
- Onboarding session: 30 min workshop per department with live demos
- Use case library shared as starting point
- Weekly adoption dashboard (active users, queries/day, top use cases)
- Identify and support struggling users — 1:1 coaching
- Showcase best uses in weekly AI showcase slot
Rollout — All Departments
FutureCompany-wide rollout. Every non-engineering employee gets Claude. Onboarding embedded in new hire process.
- Roll out to remaining departments: Program Delivery, Support, Finance, People
- Update new hire onboarding to include Claude setup on day one
- Department-specific prompt libraries and templates
- Monthly adoption reporting in MBR
Measure & Iterate
FutureQuantify impact. Adjust. Feed learnings back into the Amplify framework.
- Quarterly impact survey: "Has Claude made you more effective?"
- Correlate adoption with department-level productivity metrics
- Publish lessons learned on Amplify and newsletter
- Evaluate next-gen features (Claude computer use, MCP integrations)
Who Gets What
Engineers + QA
Cursor is the primary AI tool for all code work. Notion AI for docs and specs. Claude not required — Cursor covers conversational AI needs in context.
Product — Technical (Architects, Technical PMs)
Technical product roles explore codebases, write validation scripts, and prototype. Cursor is the natural tool. Notion AI for specs and architecture docs.
Product — Non-Technical (PMs, Leads, Design, Ops)
Product managers, leads, and designers focus on specs, research synthesis, and stakeholder comms. Claude for deep thinking, Notion AI for in-context editing.
Technical Consulting + Solution Architects
Technical consultants work directly with code and configuration. Cursor enables AI-assisted scoping, Salesforce exploration, and technical discovery. Notion AI for documentation.
Implementation Consultants
Implementation consultants focus on customer-facing deliverables — SOWs, scope docs, onboarding guides. Claude excels at drafting and analysis. Notion AI for in-context editing.
Commercial & Sales
Proposals, RFP responses, customer research, deal strategy. Claude is the primary thinking partner. Notion AI for meeting notes and CRM summaries.
Pre-Sales Consultants
Pre-sales is technical — demo builds, POC configuration, solution architecture. Cursor is the right tool for this work.
Program Delivery
Stakeholder comms, risk analysis, status reports, scope verification. Claude for drafting and analysis. Notion AI for programme documentation.
Support — Technical Product Experts
Product experts dig into code, configuration, and data. Cursor enables AI-assisted investigation. Notion AI for case documentation.
Support — General
Complex case analysis, root cause investigation, customer communication for sensitive issues. Claude adds reasoning depth beyond Kai.
Finance, People & Ops
Policy drafting, financial analysis, employee communications. Lower volume but Claude available for deeper analytical work.
Exec — Technical
Technical executives (CTO, VP Engineering) get the full suite — Cursor for hands-on work, Claude for strategy, Notion AI for docs.
Exec — Non-Technical
Strategy memos, board prep, deep analysis, scenario planning. Claude is the primary thinking partner.
* Notion AI is the current baseline. If Claude Cowork covers the same use cases, we may consolidate to reduce cost and tool sprawl. Decision point: end of pilot phase.
Success Criteria
- 80% of non-engineering employees with active Claude accounts by end of Q2 2026
- 60% weekly active usage rate among provisioned users
- At least 3 documented use cases per department
- Net positive feedback in quarterly impact survey
- Decision on Notion AI: keep, reduce scope, or retire based on Claude overlap analysis
What We're Learning
Why we chose Claude over ChatGPT Enterprise
After 3 months with ChatGPT Enterprise, we switched to Claude for three reasons: Cowork mode with connectors gives context that ChatGPT lacks, the conversation quality for consulting-style work (SOW drafting, scope analysis) is noticeably better, and the cost per seat is lower for our team size. The main trade-off: ChatGPT has better image generation and web browsing. For our use case — enterprise software consulting — Claude wins.
Open question: do we still need Notion AI?
If Claude Cowork with Notion connectors can read and reference Notion content, the only remaining value of Notion AI is in-place editing within docs. That's a narrow use case. We're keeping Notion AI as the current baseline because it's already deployed and zero-friction, but a successful Claude rollout may make it redundant. Decision point: end of pilot phase (May 2026). If Claude covers 80%+ of what people used Notion AI for, we consolidate to save cost and reduce tool sprawl.
